The big idea

European personal finance leader, BNP Paribas Personal Finance reached out to our Workplace Consultancy team for change management support during their office relocation and fit out project. They were conscious that a relocation project can be daunting for people, so wanted to alleviate these potential anxieties and make the change an exciting time for their colleagues.

Nailing the brief

Claremont’s in-house APMG Change Management Practitioner worked with their project team to establish a comprehensive programme spanning across the duration of the fit-out project to create a buzz and engage people throughout the process.

The change support programme included; neighbourhood zoning and meeting room naming support, a diversity and inclusion workshop, a close out session with key stakeholders, a comprehensive workplace guide, guided induction tours, a time lapse video, drone fly through and a case study video.

The final result

The team developed a strong partnership with the client through collaborative work on the change programme. The programme required input from both the client and Claremont, so a positive working relationship was crucial.

To capture the exciting part of the space coming together, we installed time lapse cameras on site so that we could see partition walls being built, furniture getting installed and a building site become the client’s new home!

This was used as a teaser through internal communications before the induction tours to keep the excitement up while everyone was working remotely. It was important to us to keep a constant flow of communication so that people didn’t just see the finished space, they felt part of the process.

The team supported the client with their move to a neighbourhood zoning approach by using sensory mapping which enabled them to colour code the zones into hyposensitive and hypersensitive areas, catering to all neurodivergences. The naming of the meeting rooms followed a similar approach, opting for a straightforward system to support with wayfinding and practicality, due to the vast size of the space.

Inclusive design

We know that there is no one size fits all, so our in-house Workplace Psychologist led a diversity and inclusion workshop to explain how DIBE principles were incorporated throughout the design. This ensured that this specific diversity and inclusion committee felt comfortable and at ease with the different aspects of the new space before moving in, and they were able to pass on this information to others within the business.

 

A close out session was held with the key stakeholders at BNP Paribas Personal Finance who gave their views on the workplace redesign before the project began. By explaining the different areas of the space, we were able to demonstrate that their voices had been heard, and the design was strategic, with people at the heart of it, maintaining the positivity around the change.

To communicate all of this information across the business, we produced a comprehensive workplace guide with all the information they could need about the space, from how to book a desk and etiquette on using the different meeting spaces, to information on the local area and transport links. This handy guide helps people to feel informed, educated and prepared for the relocation. In issuing this before the move in date, people were able to digest this information and alleviate any anxieties before day one, removing the ‘fear of the unknown’.

Familiarising people with the space before it was worked in operationally through guided tours was a great success. It gave people a sense of comfort ahead of the move, allowing them to see the workstations, meeting rooms and social areas that would be available to them which also built up some excitement! We held morning and afternoon sessions, splitting into smaller groups to give individuals chance to ask questions and have a personal feel. The social interaction at the start of the sessions where people culminated in the atrium area created a sense of community and reminded people how it felt to be together after working remotely for a period of time.

A drone fly through video was sent out to all staff the week before the official move in date which reminded people how great the space looked and enabled them to see a visible difference between the space as a shell in the time lapse and the finished product! Spot the difference at its finest.
